This Privacy Policy explains how Round-Up API (“we”, “us”, “our”) collects, uses, stores, discloses and protects personal information you provide when you visit our website or register your interest in our pilot program. We are committed to handling personal information in accordance with the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth).

01What information we collect

When you complete our pilot registration or interest form, we collect the information you choose to provide, which may include:

• Your name and business name;
• Your work email address and, optionally, phone number;
• Your store website address, e-commerce platform, approximate monthly order volume and product vertical;
• Charities or causes you express interest in supporting;
• Any additional details you include in the free-text message field.

We only collect personal information that is reasonably necessary to assess your suitability for our pilot program and to contact you about it. We do not ask you to provide sensitive information, and we ask that you do not include any in the free-text field.

02How we collect it

We collect personal information directly from you when you submit our online form. We may also collect limited technical information automatically when you visit the site (see Cookies & analytics below). We do not purchase or acquire personal information about you from third parties.

03Why we collect and use it

We use the personal information you provide to:

• Respond to your enquiry and assess whether your business is a fit for the pilot program;
• Contact you about the pilot, including follow-up questions and next steps;
• Keep a record of your enquiry; and
• Improve our website and the way we communicate with prospective merchants.

We will not use your information for unrelated marketing without your consent, and we will not sell your personal information to anyone.

04Third-party services we use

We rely on a small number of trusted third-party services to operate our website and form. When you interact with our site, some information is necessarily processed by these providers:

• Web3Forms — processes our contact/registration form and delivers your submission to our email inbox. The details you enter in the form pass through Web3Forms’ systems for this purpose.
• GitHub Pages — hosts our website. Like most web hosts, it may automatically log technical information such as IP addresses as part of serving the site.
• Google — we use Google Search Console and may use Google Analytics to understand how our site is found and used. These tools may collect technical and usage information about your visit.

Each of these providers operates under its own privacy and data-handling terms. We encourage you to review their policies for details of how they process information.

05Storage and security

Information submitted through our form is delivered to and stored in our email inbox, and may be recorded in our own records of pilot enquiries. We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure — including using reputable service providers and limiting access to the information.

No method of transmission over the internet or electronic storage is completely secure, and while we strive to protect your information, we cannot guarantee absolute security.

06When we disclose information

We do not sell, rent or trade your personal information. We may disclose it only:

• To the third-party service providers listed above, to the extent necessary for them to provide their service to us;
• Where required or authorised by law, or to a regulator, law-enforcement or government body acting under lawful authority;
• To professional advisers (such as legal or accounting advisers) where reasonably necessary; and
• If the business is later incorporated, sold or restructured, to the relevant successor entity, who would continue to be bound by this policy or an equivalent one.

07Overseas transfers

Some of our service providers (including Web3Forms, GitHub and Google) are based outside Australia, or store and process data on servers located overseas, including in the United States. By using our site and submitting the form, you acknowledge that your information may be processed in those locations. We take reasonable steps to use providers that handle data responsibly.

08How long we keep your information

We keep your enquiry only for as long as is reasonably necessary for the purposes described in this policy — for example, while we assess and follow up on pilot interest, and for a reasonable period afterward for our records. When information is no longer needed, we will take reasonable steps to delete it or de-identify it. You can ask us to delete your information sooner (see Your rights).

09Your rights — access and correction

Under the Australian Privacy Principles, you have the right to:

• Request access to the personal information we hold about you;
• Ask us to correct it if it is inaccurate, out of date or incomplete; and
• Ask us to delete it, or to stop contacting you, at any time.

To make any of these requests, email us at info@roundupapi.com. We will respond within a reasonable time and may need to verify your identity first.

10Cookies and analytics

Our website itself does not set marketing cookies. However, third-party tools such as Google Analytics (if enabled) may use cookies or similar technologies to collect anonymous, aggregated information about how visitors use the site, such as pages viewed and general location. You can disable cookies in your browser settings; doing so will not affect your ability to use the site or submit the form.

11Children

Our website and pilot program are intended for businesses and the people who operate them. They are not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, please contact us and we will delete it.

12Changes to this policy

We may update this Privacy Policy from time to time as our business develops or as legal requirements change. The “last updated” date at the top of this page shows when it was most recently revised. We encourage you to review it periodically. Significant changes will be reflected here.
